Barcode Registration in India: GS1 GTIN and EAN Numbers

Barcode registration is subscription to the GS1 numbering system so your products carry globally unique identifiers. GS1 India is the GS1 member organisation for the country, and it is the only authorised source of GS1 company prefixes and Global Trade Item Numbers here. On subscription you receive a company prefix from which you allocate GTINs, and access to DataKart, the national product data repository used to manage your product information.

A barcode is not a licence or a government approval. It is a commercial membership that makes your product scannable and identifiable across retailers, marketplaces and export supply chains. Modern retail assumes it: organised retail chains, Amazon and Flipkart listings, distributor systems and export documentation all key off a GTIN, and resold or recycled numbers from unauthorised sellers are a recurring source of listing rejections.

This guide covers how GS1 numbering works, the barcode symbologies used for retail units, cases and variable-measure goods, who may apply, the documents and process, how the fee is structured across registration, subscription and a refundable security deposit, how to size your number capacity, renewal, and the mistakes that force businesses to re-register. Statutory product marking requirements are separate — see BIS certification and FSSAI licence.

Bangalore’s product and SaaS ecosystem needs fast OPC/Pvt Ltd setup, ESOP-ready structures, and export-oriented GST. We align filings with Karnataka stamp duty practices and tech-park address proofs.

What is barcode registration?

Registering for barcodes means subscribing to GS1 India and being allocated a GS1 company prefix. That prefix, combined with an item reference you assign and a check digit, produces a Global Trade Item Number — the GTIN — which uniquely identifies one product at one packaging level anywhere in the world.

The barcode printed on the pack is only the machine-readable representation of that number. The value sits in the number being globally unique and in the product data associated with it, which is why GS1 issues numbers alongside access to DataKart for allocating and managing product information rather than simply selling images.

Indian GS1 prefixes begin with 890, which is why so many products sold in India show a barcode starting with those digits. The prefix identifies the numbering organisation that issued it, not necessarily where the product was manufactured.

Who needs barcode registration?

  • Brands selling through organised retail, supermarkets and modern trade
  • Sellers listing on Amazon, Flipkart and other marketplaces that require a GTIN
  • Food and beverage manufacturers moving from local to national distribution
  • Apparel, footwear and accessories brands managing SKU-level variants
  • Pharmaceutical and healthcare suppliers with traceability obligations
  • Exporters whose overseas buyers specify GS1 identification
  • FMCG distributors and wholesalers handling case-level logistics
  • Cosmetics, home care and consumer durables brands
  • Private label owners, who must register in their own brand name
  • Any business planning a distributor network where stock is scanned rather than counted

Only the brand owner, or an entity authorised by the brand owner, may apply. A job worker or contract manufacturer producing under someone else's brand should not register those numbers — the brand owner applies directly. If you own multiple brands under separate companies, each company applies separately.

What are the types of GS1 barcodes?

GS1 uses a family of symbologies, each suited to a different point in the supply chain. Picking the wrong one is a common cause of a barcode that scans in your office but fails at a retail till.

BarcodeData carriedWhere it is used
EAN-13 (GTIN-13)13-digit GTINStandard retail unit sold at point of sale; the common Indian format
EAN-8 (GTIN-8)8-digit GTINVery small retail packs where EAN-13 will not fit
UPC-A (GTIN-12)12-digit GTINRetail units for the North American market
ITF-14 (GTIN-14)14-digit GTINCases, cartons and pallets in logistics, not point of sale
GS1-128GTIN plus application identifiersBatch, expiry, serial and weight data on logistics units
GS1 DataBarGTIN plus attributes in a small symbolFresh produce, coupons, variable-measure items
GS1 DataMatrixGTIN plus batch, expiry, serial in 2DHealthcare, small items, regulated traceability
GS1 QR CodeGTIN plus web link and attributesConsumer engagement and next-generation retail scanning
SSCCSerial shipping container codeIdentifying a specific logistics unit in transit

Each distinct product and each packaging level needs its own GTIN. A 200 ml bottle and a 500 ml bottle of the same product are two GTINs; a case of twelve bottles is a third. Flavour, colour, size and pack-count variants are all separate numbers, which is why capacity planning matters.

What documents are required for barcode registration?

  • Completed GS1 India registration form or request letter on company letterhead
  • PAN card of the applicant company, or the proprietor's PAN for a proprietorship
  • GST registration certificate
  • Proof of company status — certificate of incorporation, partnership deed or Udyam or trade registration as applicable
  • Turnover or sales proof for the relevant financial year, usually the relevant page of the audited balance sheet
  • Cancelled cheque of the company bank account
  • Authorisation from the brand owner where the applicant is not the brand owner
  • Fee payment proof — online transfer, NEFT, or demand draft or pay order

A newly incorporated company with no completed financial year is generally not asked for turnover proof, since the fee slab is then based on the declared position. GS1 India may seek additional company documentation in specific cases before numbers are allocated.

How do you register for barcodes in India?

  1. 1.Count your current SKUs and add the variants you expect over the next few years
  2. 2.Choose a number capacity option — GS1 India offers tiers of 100, 1,000, 10,000 or 1,00,000 numbers
  3. 3.Decide the subscription period, choosing from the available one, two, three, five or ten year terms
  4. 4.Use the GS1 India fee calculator with your annual sales turnover, number capacity and period
  5. 5.Complete the online registration form on the GS1 India website
  6. 6.Upload PAN, GST, company status proof, turnover proof and the cancelled cheque
  7. 7.Pay the registration fee, subscription fee, security deposit and applicable tax
  8. 8.Await verification — GS1 India indicates the process usually takes about 7 to 10 working days after submission with documents and fee
  9. 9.Receive your GS1 company prefix and DataKart credentials
  10. 10.Allocate GTINs to products in DataKart, individually or by bulk upload
  11. 11.Generate print-ready barcode artwork at the correct size and quiet zone
  12. 12.Verify a printed sample scans before committing to a full packaging run

Do the SKU count carefully. The number of barcodes applied for cannot be changed later, and exhausting your allocation means a fresh registration for more numbers rather than a top-up.

How much does barcode registration cost?

The GS1 India fee is not a single figure. It is built from four components and driven by three variables — your annual sales turnover band, the number capacity you choose, and the subscription period.

ComponentNatureHow it behaves
Registration feeOne-timeRises with the annual turnover slab
Subscription feeRecurringPayable for the validity period chosen; per-year cost falls on longer terms
Security depositInterest-free and refundablePaid at registration and refundable on exit, commonly a fixed amount
GSTTaxApplied on the fee components at the prevailing rate
Renewal feeRecurringPayable before expiry; longer renewal terms attract discounts
Administrative chargesOccasionalFor changes such as a company name change or reissue

GS1 India publishes a fee structure with turnover slabs running from up to ₹5 crore through to above ₹1,000 crore, and the current schedule dates from a revision effective 1 October 2025. Because the published slabs and amounts are revised periodically, we work from the live fee calculator on the GS1 India site rather than a remembered figure, and our professional fees are scoped after a short discovery call.

How many barcode numbers should you subscribe for?

Size the allocation to a three to five year view rather than to today's catalogue. Each variant consumes a number, and the cost gap between the 100 and 1,000 number tiers is usually much smaller than the cost of registering again in eighteen months.

  1. 1.List every product currently sold, at every packaging size
  2. 2.Add a number for each case, carton or multipack configuration you ship
  3. 3.Add flavour, colour, size, fragrance and pack-count variants separately
  4. 4.Add planned launches and likely line extensions
  5. 5.Add a margin for promotional packs, gift sets and seasonal SKUs
  6. 6.Add private label or export-specific packs where the buyer needs a distinct GTIN
  7. 7.Compare the total against the next capacity tier before choosing

Resist the temptation to reuse a GTIN for a discontinued product. GS1 rules reserve retired numbers for a period before reuse, and reallocating a number early corrupts retailer and marketplace catalogues in ways that are painful to unwind.

What is DataKart and why does it matter?

DataKart is GS1 India's national product data repository and master data management platform, and access to the base version comes with the barcode subscription. You allocate GTINs there and record the attributes that go with each one — product name, brand, net content, packaging level, images and category data.

This matters because retailers and marketplaces increasingly validate listings against authoritative product data rather than accepting whatever a seller types in. Numbers allocated but never populated with data tend to surface later as listing errors, and bulk upload is far easier to do once at onboarding than retrospectively across a large catalogue.

Where should the barcode be placed on packaging?

  • On a flat, uncurved area of the pack wherever possible
  • Print at a size within the permitted magnification range for the symbology
  • Preserve the quiet zone — the clear space either side of the bars
  • Use high contrast: dark bars on a light background, never light on dark
  • Avoid red bars, which many scanners read as background
  • Keep the barcode clear of seams, folds, creases and glue lines
  • Keep it clear of shrink-wrap distortion and condensation zones on chilled products
  • Use ITF-14 on outer cases rather than enlarging the retail EAN-13
  • Verify a printed production sample with a scanner, not just on screen
  • Re-verify after any change of printer, substrate or packaging format

A barcode that fails at the till is usually a printing problem rather than a numbering problem — insufficient contrast, over-reduction, or a lost quiet zone. Testing one physical sample from the actual print run prevents a rejected consignment.

How long is a barcode subscription valid and how is it renewed?

The subscription runs for the period you paid for — GS1 India offers terms of one, two, three, five and ten years — and renewal is due before expiry for continued use of the allocated numbers. Longer renewal terms carry discounts.

Renew ahead of the expiry date rather than on it. Lapsed numbers create exactly the problem GS1 identification exists to prevent: retailer catalogues carrying a GTIN whose registration cannot be verified, which can lead to delisting. The number capacity itself does not expand on renewal; only the right to use the allocated numbers continues.

Is barcode registration legally mandatory?

No. There is no Indian statute that requires a business to hold a GS1 barcode. It is a commercial subscription, and the compulsion comes from trade counterparties — retailers, marketplaces and export buyers — rather than from a regulator.

Statutory marking obligations are entirely separate and cannot be satisfied with a barcode. Packaged food labels must carry the FSSAI number and prescribed declarations, products under a Quality Control Order must carry the BIS Standard Mark, and packaged commodities must carry the declarations required under legal metrology rules. The barcode sits alongside all of these.

Brand protection is also a different instrument. A GTIN identifies a product; it gives you no rights in the name on the pack. That comes from trademark registration.

What are the common mistakes in barcode registration?

  • Buying cheap "barcodes" from a reseller instead of subscribing to GS1
  • A job worker registering numbers for another company's brand
  • Under-sizing the allocation and needing a fresh registration within a year
  • Using one GTIN across several pack sizes or variants
  • Reusing a retired GTIN for a new product too early
  • Allocating numbers in DataKart but never populating product data
  • Printing an EAN-13 on an outer case instead of an ITF-14
  • Over-reducing the symbol until it stops scanning reliably
  • Letting the subscription lapse and facing marketplace delisting
  • Assuming the barcode covers FSSAI, BIS or legal metrology labelling obligations

Frequently asked questions

Common questions about barcode registration in Bangalore.

What is barcode registration?

It is subscription to GS1 India, which allocates you a GS1 company prefix from which you create Global Trade Item Numbers for your products, along with access to the DataKart product data platform. The printed barcode is just the machine-readable form of that number.

Is a barcode legally mandatory in India?

No. No statute requires a GS1 barcode; the requirement comes from retailers, marketplaces and export buyers. Statutory labelling obligations under food, BIS and legal metrology rules are separate and are not satisfied by a barcode.

Who is authorised to issue barcodes in India?

GS1 India is the GS1 member organisation for India and the only authorised source of GS1 company prefixes and GTINs here. Numbers bought from resellers are frequently recycled and cause listing rejections.

What is a GTIN and how does it relate to EAN?

GTIN is the generic term for a GS1 trade item number. GTIN-13 is the 13-digit number represented by the EAN-13 barcode, which is the common retail format in India and typically starts with the Indian prefix 890.

How many barcodes do I need?

One per distinct product at each packaging level. Flavour, colour, size and pack-count variants each need their own GTIN, and a case or carton needs a separate GTIN-14 carried as an ITF-14 barcode.

Can I increase my barcode allocation later?

No. The number of barcodes applied for cannot be changed afterwards, and exhausting the allocation means a fresh registration rather than a top-up. Size the capacity against the SKUs you expect over the next few years.

How long does barcode registration take?

GS1 India indicates the process usually takes about 7 to 10 working days after the registration form, documents and fee are submitted. Incomplete documentation is the usual cause of a longer wait.

What documents are needed for barcode registration?

Typically the registration form or request letter, PAN, GST certificate, proof of company status, turnover proof for the relevant year, and a cancelled cheque. A new company with no completed financial year is generally not asked for turnover proof.

How is the barcode fee calculated?

From your annual sales turnover band, the number capacity chosen and the subscription period, comprising a one-time registration fee, a subscription fee, an interest-free refundable security deposit and applicable GST. Use the live GS1 India calculator, since the schedule is revised periodically.

Is the security deposit refundable?

Yes. GS1 India takes an interest-free refundable security deposit at registration, which is returned on exit subject to its terms. It is not a fee, though it is part of the amount payable upfront.
